Pay: $18-$20/hr

Hours:  M-F 8-5

Job duties:  
  • This person will assist drivers in properly filling out all paperwork regarding billing and payments
  • Assist in coordinating payments and invoices with clients and brokers
  • Prints and verifies inbound and outbound invoices to make sure billed rates meet guidelines as agreed on each of their specific contract
  • Reviews supporting documentation such as Bill of Ladings and other submitted documentation to ensure container and movement accuracy
  • Creates a purchase order for manual invoices 
  • Submits purchase order to for approval. Upon approval, forwards invoices to Accounting for payment processing
  • When required, locates shipping notification number to ensure each movement is billed accurately
  • Provides payment information and aging reports to carriers on a weekly basis to carriers to report payment activity, pending invoices, billing discrepancies, missing documentation or other
  • Tracks all invoices individually in the CRM data base to be able to provide live updates to carriers and management as requested
  • Maintains a successful relationship with carriers by providing billing information via e-mail, phone calls or meetings upon carriers request.
  • Maintains a healthy relationship with departments as needed to ensure 100% transparency when it comes to carrier's movements, billing questions and/or discrepancies
  • Assist team with billing information, aging reports, carrier updates, budget requests, or other projects as needed
  • Must be flexible for other duties as assigned:  As an associate you may be required to cross-train across roles/departments with similar job duties, or assist with other business needs as required

  • Reconciliation experience  
  • Strong administrative and organization skills
  • Patience to walk drivers through the paperwork
  • Strong Spanish Speaking
  • High school diploma or equivalent required
  • Background check required
